THE JOURNEY TO ACHIEVING FSSC 22000 CERTIFICATION

Highveld Honey Farm and Rhodes Food Group Dairy are two companies that have stepped up to the plate and aimed for FSSC 22000 Certification. Within the last few months, both companies have achieved their goals, and have been awarded certification status by Intertek Services (Pty) Ltd. In this candid interview, the management teams share their experience of the FSSC 22000 certification process, including the benefits and the challenges.

Q: What made you decide to implement FSSC 2200?

HH: Business is easier when you have certification that everyone recognizes, especially one that is internationally recognized, as it makes export an opportunity for the future. Plus it reduces the number of audits we are required to do, as everyone recognizes this one.

RFG: Our motto is to aim to be the highest, so we chose FSSC 22000 because it is the best that is available. We aimed to be the one of the first dairies in SA to achieve the FSSC 22000 certification.

Q: As a supplier, did FSSC 22000 certification seem like an insurmountable goal in the beginning?

HH: We weren’t scared to tackle FSSC 22000, because we had been achieving good scores on our retail audits, and we had a good background. However it did bring lots of new angles that we had to handle. (Note: Highveld Honey is a small supplier)

RFG: FSSC 22000 Certification looked like a lot of work, but we had well established PRPs in place, so we had a good foundation to start with.

Q: What management system were you using before?

HH: We used SANS 10049 before.

RFG: We were using SANS 10330 prior to this.

Q: What have been the biggest differences between these two systems?

HH: The standards we use now have wider coverage than SANS 10049 that we used before.

RFG: The standards are very different. The CCPs and the PRPs stayed the same, but we had to add on many other requirements. Although the requirements were implemented, they were not adequately documented. There was minimal impact on people and processes.

Q: What changes did this bring about in your company?

HH: It didn’t bring about major changes, just more attention to detail. We were totally committed before we started this process, so that was not a big change. We would probably say that training and documentation were the biggest changes.

RFG: Communication improved significantly. In addition, OPRPs have helped us to control our operations more effectively.

Q: How has the implementation of FSSC 2200 affected the management style?

HH: We’ve been in this business for many years, so none of this was brand new to us, it was more of a formality really. There’s not been much change to our management style, as we were there already.

RFG: The changes that took place were done due to restructuring within the business, not because of FSSC 22000. We had the culture within our company already, so it was a natural shift.

Q: Do you see a future for you to export globally now that you have FSSC 22000?

HH: Honey is in short supply in South Africa as it is, so we have not really looked at it. However we have had enquiries from overseas, but due to the industry restrictions for importing, and the fact that we didn’t meet requirements we never considered it seriously. It is an option that’s available to us now.

RFG: We would look at exporting into Africa in the future perhaps.

Q: What benefits have you seen since implementing FSSC 22000?

HH: The system is easy to monitor now, because we have to check against the requirements of the standards. Our staff are better equipped now, and more confident. It has also built our credibility within the industry, we have more customer confidence now. Basically it builds your brand.

RFG: There have been increased levels of assurance, trust, awareness and communication. Having FSSC 22000 will provide us with a new focus for marketing.

Q: What was your experience of the certification process?

HH: The process wasn’t difficult, but it was not without its challenges. The goals we set made it achievable. It did require more time, and more attention to detail. It also necessitated some training for management and staff.
RFG: The process was smooth flowing, and the deadlines were easy. We understood the process, which was easy and clear.

Q: What has been the difference between doing the retail audit and the FSSC 22000 process?
(Preparing for once a year audit, instead of an ongoing process?)

HH: With FSSC 22000 you have to maintain the system – there is no such thing as “catching up”. It is a system, so it has to run, regardless of whether there is an audit or not.
RFG: FSSC 22000 took our management system to a different level. Communication has played a big role and the auditors were on site for a much longer period of time.
With FSSC 22000, we made an internal decision to proceed with the process of certification, whereas the retail audit is a non-voluntary process.

Q: How will you maintain the standard required for certification?

HH: Honestly, losing a staff member (such as our food technologist) could be a problem. We need to expand, and train an assistant who also knows what to do. The system cannot be run by one person. Our consultant is important, for guidance, and for continuity from outside. One of the biggest challenges to maintaining the standard is to keep it up, and to keep everything up to date.
RFG: The system is designed in such a way that we will be able to maintain it and always be audit-ready.

Q: Some advice for others considering FSSC 22000?

HH: Whether you are small or big, it doesn’t matter, it is achievable! Keep your eye on the benefits, because it is worth it in the long run. And be patient – it is not achievable overnight.
RFG: All basic PRP and HACCP principles need to be bedded down 100% prior to the shift. Training of all key staff to be conducted in advance to ensure the holistic understanding of the changes required. This will ensure the smooth transition over.
